Global Payroll Specialist

Location: On-site in Stockholm 5 days a week
Role Overview
We are looking for a Global Payroll Specialist to oversee and coordinate payroll operations across multiple countries in an outsourced setup. The role will report to Global Payroll Manager and focuses on payroll governance, controls, and continuous improvement of processes rather than hands-on payroll processing.
Key Responsibilities
Payroll Oversight & Coordination
Act as point of contact for external payroll providers
Ensure accurate and timely payroll delivery across all countries
Coordinate monthly payroll cycles and deadlines
Act as backup to Global Payroll Manager in times of absence
Controls & Compliance
Perform payroll validations and reconciliations
Review payroll reports and identify discrepancies
Ensure compliance with local regulations and internal policies
Support audits and maintain documentation
Process Development
Help build, standardize, and improve payroll processes globally
Develop clear workflows and documentation
Drive automation and efficiency initiatives
Data & Systems
Manage payroll inputs from HR system (HiBob)
Ensure data quality and completeness
Collaborate with HR, Finance, and external vendors
Stakeholder Management
Partner with Finance for reporting and reconciliations
Support HR with payroll-related queries
Communicate with vendors to resolve issues
Qualifications & Experience
Experience in global payroll, preferably in an outsourced environment
Strong understanding of payroll controls and processes
Detail-oriented with strong analytical skills
Comfortable working with HRIS and payroll systems
Nice to Have
Experience with payroll vendors (e.g. BDO, Deel)
Experience building payroll processes from scratch
Exposure to audits and compliance frameworks
