Responsibilities
Communication & Coordination
Manage and respond to emails and messages in German and English
Schedule and coordinate meetings, calls, and appointments across time zones
Draft and proofread internal and external communication
Act as a point of contact for German- and English-speaking clients or team members
Administrative Support
Maintain calendars and to-do lists
Organize and maintain shared digital files and folders
Prepare reports, meeting notes, and presentations
Track deadlines and send reminders
Project Assistance
Support small projects by tracking deliverables and updating project boards (e.g., Trello, Asana, monday.com)
Conduct basic research and summarize findings
Assist with data entry and light reporting tasks
Customer or Client Support
Handle basic customer inquiries or service requests via email or chat
Escalate issues when necessary and ensure timely follow-up
Translate short texts, emails, and documents between German and English
Ensure culturally appropriate communication in both languages

Qualifications
University degree in administration or a related field.
Fluent in German and English (written and spoken)
Proven experience as a Virtual Assistant or in a similar administrative role
Excellent written communication and organizational skills
Tech-savvy; proficient with tools like Microsoft Office, Google Workspace, Zoom, and task managers
Ability to handle confidential information with discretion
Independent, proactive, and detail-oriented
Strong time management skills and ability to prioritize effectively
