Delivery Operations Administrator

We are looking for a Delivery Operations Administrator.
Key Responsibilities:
Support the Chief Delivery Officer and Delivery Team in daily delivery and staffing operations
Act as a key operational user of delivery, staffing, and workforce management systems, ensuring data accuracy and consistency
Identify system issues, data inconsistencies, and manual workarounds; cooperate with IT or system owners to resolve recurring problems
Design and maintain operational workarounds when systems or tools are not fully reliable
Manage resource allocation and project staffing processes
Manage the pool of available resources (2-10 people) during time between projects (bench)
Monitor utilization, capacity, and allocation risks; proactively highlight gaps and constraints
Contribute to forecasting and analysis of delivery capacity and future staffing needs
Cooperate closely with Delivery, HR, and Recruitment teams on workforce planning and onboarding readiness
Analyze, document, and continuously improve delivery and operational processes
Reduce manual effort, unclear ownership, and dependency on informal knowledge
Create and maintain SOPs, process documentation, and operational guidelines
Ensure consistent application of company standards and operational rules across the department
Coordinate collaboration between team in Poland and Operations in HQ/offshore teams in India, facilitating issues resolution
Drive structured, outcome-focused communication across locations and time zones
Support and improve knowledge transfer, onboarding, and operational training effectiveness
Monitor operational delivery KPIs
Prepare clear status reports, summaries, and management-ready insights
Organize and facilitate operational meetings, including preparation of agendas, notes, and follow-ups
Requirements
3-5 years of experience in delivery operations, PMO support, project operations, or resource management in IT outsourcing, or managed services environment
Proven ability to work with non-mature processes and systems and improve them over time
Strong analytical skills and high confidence working with data and reporting (Google Sheets, reporting tools)
High system affinity – experience with corporate tools such as ERP, staffing systems, CRM, SharePoint or similar
Background in IT outsourcing, managed services, or delivery centers
Ability to work independently, prioritize effectively, and take ownership of recurring operational problems
Very good command of English (minimum B2, daily international collaboration)
