Overview:
We are looking for a proactive and people-oriented Welcome Desk Host to join our team. This is a front-of-house role based at the reception area, but it goes beyond traditional receptionist duties. The ideal candidate will be the face of the office, creating a warm, professional, and engaging environment for employees and visitors alike.
Responsibilities:
Act as the face of the office, creating a positive first impression for all visitors and employees
Greet guests and staff, engage in friendly conversation, and anticipate their needs
Manage visitor check-ins, issue passes, and distribute security badges for new hires
Provide information about the building, office policies, and wayfinding
Maintain a presentable, organized, and welcoming reception area
Support the onboarding process by offering essential information and resources
Identify and report any office safety or security concerns
Assist with receiving and distributing mail and packages
Coordinate with vendors, service providers, and internal teams as needed
Manage meeting room bookings and support event logistics, including catering and equipment
Organize and promote office events, wellness activities, and team-building initiatives
Create and share internal communications using tools like Outlook or Viva Engage
Support the office ticketing system, ensuring requests are followed up and resolved
Help with administrative tasks such as business card ordering
Participate in health and safety assessments
Suggest improvements to enhance the office environment and employee experience
Requirements:
Fluent in English and Polish, both written and spoken
Experience in customer service, hospitality, or office administration
Experience in organizing events
Friendly, approachable, and professional demeanor
Strong interpersonal and communication skills
Proficiency in MS Office (Outlook, Word, Excel)
Detail-oriented, proactive, and eager to work with people
Recruitment Process:
First interview with the Hiring Manager (in person preferred, remote possible)
Second interview with the Manager
