Full-time, 100% on-site role in Warsaw (Monday to Friday, 9:00–17:00)

Preferred start date: ASAP (candidates with up to 1-month notice period will be considered) 


Overview:


We are looking for a proactive and people-oriented Welcome Desk Host to join our team. This is a front-of-house role based at the reception area, but it goes beyond traditional receptionist duties. The ideal candidate will be the face of the office, creating a warm, professional, and engaging environment for employees and visitors alike.


Responsibilities:


  • Act as the face of the office, creating a positive first impression for all visitors and employees

  • Greet guests and staff, engage in friendly conversation, and anticipate their needs

  • Manage visitor check-ins, issue passes, and distribute security badges for new hires

  • Provide information about the building, office policies, and wayfinding

  • Maintain a presentable, organized, and welcoming reception area

  • Support the onboarding process by offering essential information and resources

  • Identify and report any office safety or security concerns

  • Assist with receiving and distributing mail and packages

  • Coordinate with vendors, service providers, and internal teams as needed

  • Manage meeting room bookings and support event logistics, including catering and equipment

  • Organize and promote office events, wellness activities, and team-building initiatives

  • Create and share internal communications using tools like Outlook or Viva Engage

  • Support the office ticketing system, ensuring requests are followed up and resolved

  • Help with administrative tasks such as business card ordering

  • Participate in health and safety assessments 

  • Suggest improvements to enhance the office environment and employee experience


Requirements:


  • Fluent in English and Polish, both written and spoken

  • Experience in customer service, hospitality, or office administration

  • Experience in organizing events 

  • Friendly, approachable, and professional demeanor

  • Strong interpersonal and communication skills

  • Proficiency in MS Office (Outlook, Word, Excel)

  • Detail-oriented, proactive, and eager to work with people


Recruitment Process:


  • First interview with the Hiring Manager (in person preferred, remote possible)

  • Second interview with the Manager

  • Optional third stage: short chat with a VP
