As a Mid-Level Executive Assistant, you will be working for our client, a prominent global financial company. Supporting the Global Banking & Markets division, you will provide essential administrative assistance to senior leaders, ensuring smooth operations and enabling strategic focus. This role offers a dynamic environment within a prestigious organization dedicated to shaping financial futures and fostering career growth.

Your main responsibilities:

  • Provide extensive administrative support to 5-6 Managing Directors, including diary management and scheduling appointments
  • Coordinate and organize meetings, conference calls, and travel arrangements across multiple time zones
  • Manage high volume email correspondence, ensuring timely and accurate communication
  • Handle room bookings for internal/external meetings and video conferences at various locations
  • Prepare and process travel documents, including visa applications, flights, accommodation, and transportation
  • Oversee expense reports and invoice processing in adherence to company policies
  • Support ad hoc tasks to maintain seamless workflow and team efficiency
  • Assist with administrative functions such as updating attendance records and team documentation
  • Provide phone and holiday coverage for colleagues as needed

You're ideal for this role if you have:

  • 2+ years of experience working as an assistant or in a similar administrative role
  • Strong knowledge of diary management, travel logistics, and organizational coordination
  • Fluent in English and Polish, with excellent communication skills
  • Highly proactive, independent, and attentive to detail
  • Familiarity with processes in finance or professional services is a plus
  • Flexibility to work Monday to Friday, 8:30 am to 5:30 pm, in-office only

It is a strong plus if you have: (optional)

  • Experience working in a finance or professional services environment

Language Required for the role:

  • Fluent in English and Polish
