As a Mid-Level Executive Assistant, you will be working for our client, a prominent global financial company. Supporting the Global Banking & Markets division, you will provide essential administrative assistance to senior leaders, ensuring smooth operations and enabling strategic focus. This role offers a dynamic environment within a prestigious organization dedicated to shaping financial futures and fostering career growth.
Your main responsibilities:
- Provide extensive administrative support to 5-6 Managing Directors, including diary management and scheduling appointments
- Coordinate and organize meetings, conference calls, and travel arrangements across multiple time zones
- Manage high volume email correspondence, ensuring timely and accurate communication
- Handle room bookings for internal/external meetings and video conferences at various locations
- Prepare and process travel documents, including visa applications, flights, accommodation, and transportation
- Oversee expense reports and invoice processing in adherence to company policies
- Support ad hoc tasks to maintain seamless workflow and team efficiency
- Assist with administrative functions such as updating attendance records and team documentation
- Provide phone and holiday coverage for colleagues as needed
You're ideal for this role if you have:
- 2+ years of experience working as an assistant or in a similar administrative role
- Strong knowledge of diary management, travel logistics, and organizational coordination
- Fluent in English and Polish, with excellent communication skills
- Highly proactive, independent, and attentive to detail
- Familiarity with processes in finance or professional services is a plus
- Flexibility to work Monday to Friday, 8:30 am to 5:30 pm, in-office only

Language Required for the role:
- Fluent in English and Polish
