Vendor Onboarding & Third Party Risk Management Specialist
Location: 100% onsite (Warsaw)

Role Summary:
The Vendor Onboarding & Third Party Risk Management Specialist supports end to end onboarding of third party vendors into internal systems of record, captures accurate data from Vendor Business Liaisons, coordinates onboarding activities and due diligence, and performs risk assessments aligned with the Third Party Risk Management framework while partnering closely with Global Strategic Sourcing and internal stakeholders
Responsibilities:
Data Management & System Administration
Enter, update, and maintain accurate vendor data based on information collected from the Vendor Business Liaison
Ensure completeness and accuracy of required fields, documentation, and metadata for vendor onboarding
Monitor data quality and reconcile information across internal systems
End-to-End Vendor Onboarding
Coordinate the full vendor onboarding lifecycle from initial request through activation
Track onboarding milestones and follow up with stakeholders to ensure timely delivery of activities
Act as a coordination point for Business Owners, Vendor Business Liaisons, Global Strategic Sourcing, Risk SMEs, Legal, and Compliance
Stakeholder Engagement
Collaborate with Global Strategic Sourcing to validate vendor information and confirm sourcing requirements
Work closely with Vendor Business Liaisons to understand onboarding needs and share key updates
Escalate issues or delays to leadership when needed
Risk Assessment & Due Diligence
Conduct initial and ongoing risk assessments in alignment with the Third Party Risk Management framework
Capture risk classifications, inherent risks, control requirements, and mitigation actions in the system of record
Coordinate with SMEs such as Information Security, Privacy, Business Resilience, AML, and Financial Crime to validate risk findings
Ensure documentation, approvals, and workflows meet policy and audit standards
Timely Onboarding & Process Compliance
Complete onboarding tasks and TPRM activities within required timelines
Maintain adherence to internal policies, procedures, and compliance requirements
Identify and communicate process improvement opportunities
Requirements:
Experience in vendor onboarding, procurement operations, third party risk management, or similar operational roles
Strong understanding of risk assessment principles, ideally within a regulated or financial services environment
Proficiency with data entry, workflow tools, and enterprise systems of record (experience with vendor management systems is a plus)
High attention to detail and documentation accuracy
Strong communication skills and ability to engage cross functional stakeholders
Ability to manage multiple onboarding requests, prioritise effectively, and meet deadlines
Preferred Qualifications:
Experience working within a Third Party Risk Management programme
Familiarity with TPRM processes, sourcing structures, or vendor management frameworks
Knowledge of regulatory expectations related to outsourcing, vendor risk, or operational risk
