We are looking for a reliable, proactive and well-organized Operations Specialist to support our day-to-day business operations.
This is a cross-functional role combining administrative, financial, legal and light HR support. It will be a good fit for someone who enjoys keeping things organized, improving processes and making sure that nothing falls through the cracks.
Your responsibilities
As an Operations Specialist, you will support the company in daily operational matters, including:
preparing, sending and collecting invoices, as well as supporting financial settlements;
coordinating company documentation, including contracts, NDAs, legal forms and other business documents;
communicating with external partners, including accountants, legal advisors and service providers;
supporting HR-related processes, such as preparing agreements, coordinating onboarding documents and scheduling interviews;
organizing business travel, meetings and internal logistics;
managing internal tools, company accounts and simple operational purchases;
supporting the team with ad hoc administrative and operational tasks;
helping to improve internal processes and keep company documentation well-structured and up to date.
Must-have requirements
We are looking for someone who has:
previous experience in operations, administration, finance support, HR support or a similar role;
experience with invoice processing and cooperation with accounting teams;
experience coordinating contracts, NDAs or other business documents;
experience supporting administrative, HR or recruitment-related processes;
very good organizational skills and strong attention to detail;
clear and professional communication skills;
ability to manage multiple tasks and priorities at the same time;
good command of English, both written and spoken;
confidence working with spreadsheets and documents;
Additional advantages
It would be a plus if you have experience with:
startup or fast-changing business environment;
tools such as Google Workspace, Slack, Notion, invoicing tools or HR systems.
