We're looking for a Facilities Associate
In this role, you will...
Be part of the Facilities Team. You will support the role of the Senior Regional Facilities Manager, who manages EMEA offices; you might be involved in Facilities operations supporting various European locations. You will liaise with Krakow international team, guests as well as various vednors.
This position is based in our Krakow office. Duties include:

Reception tasks - meet and greet visitors as and when required

Management & distribution of mail – incoming/outgoing, courier requests

Taking care of the company's image: aesthetics of the reception desk, ensuring the space is tidy and meeting rooms prepared

Taking care of visitors and employee badge requests

Oversee meeting room reservations,
-
Support with catering and visitors as and when required
-
Supporting meetings/events in the office; securing the meeting rooms, snacks deliveries

Regular purchase of snacks, fruit and refreshments
-
Purchasing of office supplies, stationary, furniture and general equipment
-
Support employees with our external travel booking site, Egencia
-
Invoice management via Oracle, raise purchase orders, check invoices against budget
-
Contact with vendors to solve any issues that may occur

Liaise with building management and external providers to ensure routine and adhoc repair and maintenance of office space and equipment.

Hold position of Lead fire warden and first aider, organizing training for employees
-
Point of contact for all facilities queries, deal with all requests promptly and accurately via ServiceNow

Supporting Facilities Manager in ad hoc tasks when needed
